Private Label Coconut Charcoal Packaging: A Buyer Approval Checklist

Private-label packaging is more than a printed box. For an importer or distributor, the approved packaging specification must protect the briquettes, carry the right market information and remain consistent with the commercial order.

PT Dharma Artha Nusantara coordinates product, packaging and export requirements with Indonesian production partners. We act as an exporter, trading and coordination company; the final packaging arrangement is agreed in writing for each order.

Start with the product and market

Packaging decisions should follow the selected product, destination and sales channel. A retail shisha product may need a compact branded inner box, while a wholesale or foodservice order may prioritize efficient master-carton handling.

Before requesting artwork, confirm:

  • the selected briquette grade and shape;
  • the intended retail or wholesale channel;
  • the destination country and language requirements;
  • the proposed inner-box and master-carton weights;
  • whether pallets, stretch film or other handling protection are required.

PT DAN’s current catalogue references include 500 g and 1 kg inner boxes and a 10 kg master box. These are catalogue options, not automatic commitments. Final sizes, materials and quantities remain subject to written confirmation.

Build one packaging specification

The buyer and exporter should work from one controlled packaging specification. It should identify the product, pack configuration, material, dimensions, artwork version, markings and acceptance method.

Useful fields include:

  1. product grade and shape;
  2. nominal net weight per inner box;
  3. number of inner boxes per master carton;
  4. carton material and construction;
  5. inner plastic-bag requirement;
  6. artwork file name and revision;
  7. required languages, warnings and handling marks;
  8. barcode or buyer reference, when applicable;
  9. palletization or loading arrangement;
  10. approval date and authorized approver.

This document helps prevent a common problem: the product sample is approved, but the packaging order uses a different weight, artwork revision or carton configuration.

Review artwork before printing

Artwork should be reviewed as a complete print proof rather than as separate logos and text files. Check brand spelling, product description, net weight, country-of-origin wording, contact details, barcodes, mandatory statements and print orientation.

Regulatory and labeling obligations vary by destination. The buyer should confirm local import and retail requirements with its customs, legal or compliance advisers. PT DAN can coordinate the agreed information, but it should not be assumed that one label format is valid in every market.

Do not start production printing until the approved proof is identified by file name or revision number and both parties have recorded the approval.

Check product protection

Packaging must also protect the briquettes during handling and sea freight. PT DAN’s published packaging options include an inner plastic bag, export carton, palletized packaging and stretch-film protection. The appropriate combination depends on the order and agreed loading plan.

Ask how the packaging plan addresses:

  • moisture exposure;
  • dust and cleanliness;
  • carton compression during stacking;
  • movement inside the master carton;
  • pallet stability, when pallets are used;
  • handling marks and shipment identification.

Packaging illustrations or catalogue examples should not replace a written specification.

Approve a physical sample or representative proof

Where practical, packaging approval should include a physical mock-up, printed sample or other representative proof. A screen PDF can confirm text and layout, but it may not show actual print color, board strength, sealing quality or fit around the product.

Record what was reviewed and what remains conditional. For example, a digital proof may approve artwork only, while the carton material and packed-product fit still require separate verification.

Confirm the packing and loading plan

PT DAN’s production-partner catalogue lists reference loads of 18 metric tonnes for a 20 ft container and 25 metric tonnes for a 40 ft container. These are planning references only. The final load depends on the product, packaging, pallet use and loading arrangement.

Before shipment, reconcile:

  • inner boxes per master carton;
  • master-carton count;
  • net and gross weights;
  • pallet count, if used;
  • container type;
  • carton markings;
  • final packing-list quantities.

The packing list should reflect the actual shipment, not only the initial estimate.

Five approval checkpoints

PT DAN uses a practical sequence for private-label coordination:

1. Brief

The buyer shares pack size, quantity, branding and destination requirements.

2. Artwork

The parties review the complete print proof and revision.

3. Approval

The packaging specification and approved artwork are recorded in writing.

4. Verification

Agreed packing checks are coordinated before dispatch.

5. Dispatch

The loading plan and shipment quantities are confirmed.

Questions to send with a packaging inquiry

An effective inquiry should state:

  • product and grade;
  • shape and dimensions;
  • expected order quantity;
  • inner-box and master-carton preference;
  • destination country;
  • required languages and buyer-supplied artwork status;
  • pallet or non-pallet preference;
  • target delivery term and destination.

PT DAN can then coordinate feasibility, MOQ, timing and the documentation needed for a written quotation.

Conclusion

Private-label packaging works best when product, artwork, carton construction and loading quantities are approved as one coordinated system. Importers should use written checkpoints and keep the final artwork revision tied to the commercial order.
